5 AI PDF Data Extraction Tools for Tables and Invoices

AI PDF data extraction tools can turn a supplier invoice or long table into usable records, but a successful upload is only the beginning. We compared five AI PDF data extraction tools through official research and manual screen checks to understand their features, access, output and costs.

The most useful finding was simple: a tidy result needs checking. One captured preview showed table content that did not match the source. Another showed matching document fields, but not enough of the output to confirm every row.

This guide covers LlamaParse, Mindee, Docsumo, Nanonets and Google Document AI. It explains where each can help, what our available screenshots demonstrate and what remains unverified.

How we reviewed them: We checked official documentation and pricing on 29 October 2026 and reviewed manually captured screens. LlamaParse and Mindee showed processed previews; Google showed its public demo. Docsumo showed trial onboarding, while Nanonets showed its homepage. This is a researched comparison with limited manual observations, not an equal five-tool accuracy benchmark.

AI PDF data extraction tools compared

Tool Best for Starting route Spreadsheet or API output? Evidence from our checks
LlamaParse Complex tables and developer pipelines Free account and parsing workspace Structured tables; optional XLSX; schema-based extraction separately Completed preview; visible table mismatch needs verification
Mindee Custom document fields inside an application Trial account, model setup and Live Test Object-based API/JSON; spreadsheet mapping required Several schedule fields matched; full row count not verified
Docsumo Operations teams needing review and validation Trial setup call on the route reviewed Excel/CSV downloads and integrations Trial conditions confirmed; no extraction result supplied
Nanonets Document workflows with approval and delivery Advertised free-credit signup CSV/XLSX, connectors and API Homepage reviewed; no fixture output supplied
Google Document AI Engineering teams using Google Cloud Public demo, then project-based API setup Structured output; conversion needed for Excel Invoice demo used on a table schedule; limited comparison value

What should PDF extraction actually deliver?

OCR reads text from an image. Parsing also tries to recover structure, such as table cells and reading order. Field extraction identifies values with a purpose: invoice number, tax amount or quantity.

Export is another step. A valid JSON response is useful for an application, but someone may still need to turn nested invoice data into spreadsheet rows.

When choosing AI PDF data extraction tools, define the destination first. A finance assistant downloading Excel needs a different workflow from a developer feeding records into a database.

1. LlamaParse PDF table extraction for complex documents

Best for: Developers and analysts extracting tables from reports, price lists and mixed-layout documents.

According to its table documentation, LlamaParse can return structured rows, CSV, HTML and Markdown representations, with optional XLSX output. It also documents settings for continued tables and merged cells.

Its separate Extract capability uses a schema: a definition of the fields and data types you want. Recovering a table and extracting named invoice fields are related jobs, with different settings and costs.

Strengths worth considering:

  • Different output representations support spreadsheets, applications and document search.
  • Continued-table options address tables crossing page breaks.
  • Schema-based extraction helps define a consistent record structure.

What our screenshot showed: A five-page job displayed “Success” and an estimated 50 credits at ten credits per page. However, the visible result table included “Reagent A-440,” while the source invoice began with a precision camera mount. That content does not match the visible source item.

This needs checking against the downloaded raw result before identifying the cause. The screenshot does not establish why the mismatch occurred or how the other pages performed.

When it can help: A supplier price list continues across three pages. You want the same columns, all product rows and no repeated headers mixed into the data.

Limitation: A completed job is not proof of correct values. Check settings, row counts and source references. Markdown pipe tables also cannot fully represent merged cells; inspect HTML or structured output when that matters.

Export: XLSX output is documented when the table-as-spreadsheet option is enabled. We have not verified a downloaded workbook from this captured session.

2. Mindee invoice OCR API and custom extraction

Best for: Developers adding invoice or custom document extraction to an existing product.

Mindee offers invoice fields such as supplier, dates, totals, taxes and line items. Its platform also lets you configure models for other document structures.

The manual check used a model named “Tabular Itemized Statement” with our three-page supply schedule. That is important: it was a configured table workflow, not a test of the standard invoice model.

Strengths worth considering:

  • Custom schemas let you request fields suited to your document.
  • Live Test places the document beside extracted values.
  • APIs and SDKs support integration into your own application.

What our screenshot showed: The visible result matched the schedule title, ID “TBL-30,” date “2026-10-29,” currency “INR” and supplier name. A line-items section was present, but the screenshot did not show the complete list.

This supports a limited observation about visible header fields. It does not confirm that all 30 rows, fractional quantities or negative adjustments were correct.

When it can help: Your purchasing app needs to extract fields and populate a review form. Mindee provides the structured result; your application handles corrections and saving.

Among AI PDF data extraction tools, this is a useful option to examine when you want extraction inside your own interface.

Limitation: Model configuration and field mapping still need work. Trial credits remaining on a screen are not enough to calculate one document’s actual charge without a usage record.

Export: Mindee’s integration documentation describes object-based output. Nested line items need a deliberate mapping to CSV or spreadsheet sheets.

3. Docsumo invoice data extraction and team review

Best for: Operations teams processing documents through extraction, checking, approval and export.

Docsumo is an intelligent document processing platform rather than only an invoice reader. Its solutions directory covers areas such as accounts payable, lending and logistics, including invoices, bank statements and bills of lading.

For this comparison, the useful features are field/table extraction, review, validation and delivery to business systems. The wider catalogue does not demonstrate accuracy on our sample files.

Strengths worth considering:

  • Review screens support handling exceptions before records move onward.
  • Validation rules can check required fields, patterns and relationships between amounts.
  • Excel/CSV downloads and API routes serve both spreadsheet users and developers.

What our screenshot showed: The trial page offered 14 days, 1,000 pages and ten users. It explained that the process starts with a setup call, followed by configuration on your documents. No processed fixture result was supplied.

This makes access part of the decision. Allow time for onboarding rather than assuming the trial opens directly into an upload workspace. The current trial page confirms this route.

When it can help: An accounts team wants invoices checked for missing fields and mismatched totals before exporting them. Docsumo’s validation documentation describes cleaning, calculation and checking steps.

Limitation: Rules must match the actual invoice, including discounts, freight and tax treatment. Production pricing requires a quote, and setup fees can apply.

Export: Direct Excel/CSV downloads are documented. We have not verified an export from this manual review.

4. Nanonets invoice automation and document workflows

Best for: Teams connecting extraction to validation, human approval and downstream systems.

Nanonets currently presents a broader AI-agent and business-process offering. Its document-processing documentation still describes extraction, formatting, lookups, review and exports. The homepage positioning alone does not establish what a particular configured workflow will do.

Strengths worth considering:

  • Intake and connectors can reduce separate integration work.
  • Approval stages support routing documents to people.
  • Spreadsheet downloads and system exports offer different delivery routes.

What our screenshot showed: The public homepage advertised a free start with $50 in credits. It did not show an uploaded fixture, extracted table or completed approval workflow. We therefore have no sample-specific result to score.

When it can help: A supplier emails an invoice, a workflow extracts it, checks a reference, routes exceptions for review and sends approved records onward. Our Nanonets overview introduces the broader tool.

Limitation: Workflow billing can count extraction by page and other operations by field or table row. A document with many line items can trigger more work than its page count suggests.

Export: Nanonets documents CSV/XLSX downloads and connectors such as Google Sheets. Test the final row layout; do not assume an available connector means your accounting fields are already mapped.

5. Google Document AI: public demo versus paid API

Best for: Developers building document processing within Google Cloud.

Google offers different processors for different jobs. Invoice Parser targets invoice fields and line items. Form Parser handles forms and simple tables. Other layout and custom-extraction options address different needs.

Strengths worth considering:

  • You can select a processor suited to the document type.
  • Structured output can feed a database or application.
  • Google Cloud teams can manage processing alongside their existing infrastructure.

What our screenshot showed: The public demo was set to “Invoice,” but the uploaded page was our supply schedule. Currency “INR” appeared, while several visible invoice-specific fields were blank.

A supply schedule does not necessarily contain an invoice due date or amount paid. Those blanks do not establish an extraction failure. Google also describes this public demo as illustrative; it should not be treated as equivalent to a configured API run.

Does Google Document AI require billing?

For project-based API use, Google’s setup guide requires a Cloud project, the Document AI API enabled and billing enabled. You also need a suitable processor and authentication permissions.

This is usage-based processing, rather than a single subscription price for clicking “Enable.” Eligible Cloud credits may offset costs, but they do not make all usage permanently free. Some custom processor deployments have separate hosting charges.

When it can help: Your team already maintains a Google Cloud pipeline and can build the review and export steps around the processor.

Limitation: Google documents Form Parser for simple tables without cells spanning rows or columns. Our merged-header schedule therefore needs careful processor selection, not a blanket promise that Form Parser will preserve everything.

Export: Standard batch output is JSON in Cloud Storage. Producing a useful Excel file requires another conversion or integration step. Include that work when comparing AI PDF data extraction tools.

Pricing table: plans, billing units and extra costs

These are published references checked on 29 October 2026, before applicable taxes. USD and EUR remain separate; annual equivalents require annual payment. None of these figures is a measured bill from an equal five-tool test.

Tool Trial or free access Published paid reference What changes the cost?
LlamaParse 10,000 monthly credits Starter: $50/month, 40,000 credits; Pro: $500/month, 400,000 credits Parse/Extract tiers, extra processing and retained storage
Mindee 14 days, including 200 pages Starter: €44/month equivalent with annual billing; Pro: €116/month equivalent; documentation lists a 6,000-credit annual minimum for each Selected credit volume, optional features and final checkout total
Docsumo Assisted 14-day trial, up to 1,000 pages and ten users Business and Enterprise: custom quotes Pages, workflow requirements, setup and contract terms
Nanonets $50 introductory credits, no card advertised Starter then lists $100/month for 100 credits; larger plans quoted Number and type of block runs
Google Document AI Public demo; any Cloud trial eligibility is separate Invoice Parser: $0.10 per document block of up to ten pages; Form Parser base tier: $30 per 1,000 pages Processor, volume, selected pricing model and supporting Cloud resources

Use the current LlamaParse billing page, Mindee plan documentation, Docsumo pricing, Nanonets pricing and Google pricing before purchasing.

The billing units differ. LlamaParse lists $1.25 per 1,000 credits: Agentic parsing uses ten credits per page, while Agentic extraction with its default parsing step totals 25. The captured estimate of 50 credits is not proof of the final billed amount.

Mindee’s credit FAQ states one credit per page by default, or 1.5 with confidence scoring. Confirm the selected allowance; do not multiply a rounded monthly equivalent and assume it is the exact annual invoice.

Nanonets lists simple operations at $0.02 per run, standard AI at $0.10 and complex AI at $0.30. Check how often each configured block runs, including row-level operations.

Google’s Invoice Parser counts blocks within each document. Ten separate one-page invoices cost $1 in processing at the listed base rate, rather than $0.10. A Marketplace figure in INR per 1,000 counts needs its exact SKU and billing unit; it is not a universal Document AI price.

For AI PDF data extraction tools, compare processing plus allocated subscription/setup costs, integration and human cleanup, divided by usable documents. A low API rate can lose its advantage if every export needs repair.

A fair test for PDF tables and scanned invoices

Our fictional fixture contains a digital invoice with ten lines, an image-only simulated scan of that invoice and a 30-row table across three pages. The combined five-page packet includes the same invoice twice, in different representations.

Use the three separate files for baseline comparisons. The combined packet is an optional mixed-document stress test and may require splitting before a specialised invoice processor can use it.

The invoice includes fractional quantities, a zero-price item, a negative return credit and an empty purchase-order field. Its total is ₹12,511.15 and amount due is ₹11,511.15. The 30-row schedule totals ₹58,507.16.

To compare AI PDF data extraction tools fairly:

  1. Use the same input and define the expected fields beforehand.
  2. Record the plan, model/processor version, settings and date.
  3. Save raw output before making corrections.
  4. Count missing/duplicate rows, incorrect values and shifted columns.
  5. Time cleanup, including conversion to a spreadsheet when needed.
  6. Record actual billed units and retries, keeping estimates separate.
  7. Open the final export and compare it with the answer key.

Check row joins at 10/11 and 20/21, decimal points, negative values and similar-looking characters in IDs. Missing values should remain missing rather than becoming invented numbers. Compare numeric values sensibly: 1,250.5 and 1,250.50 are equal amounts.

For screenshots, show a source area beside its actual result. A visible correct field is useful evidence; you do not need to manufacture an error. Keep full-output files for checking beyond the captured screen.

Which tool should you try first?

Start with LlamaParse for table structure, Mindee for custom extraction inside your application, Docsumo for assisted team workflows, Nanonets for approval and delivery, or Google Document AI for a Cloud implementation.

Our current observations do not establish an accuracy winner. Mindee’s visible fields matched, LlamaParse’s preview raised a specific mismatch to investigate, and the remaining materials did not provide equivalent extraction results.

If you later automate delivery, our n8n guide introduces a supporting option. Validate the data before sending it onward.

Choose AI PDF data extraction tools by whether you can preserve the right records, correct exceptions and reach your destination with less total work. Start with one document you understand, then expand the sample before committing.
